Privacy Policy

Introduction
Fastlane Autocare ("we", "us", "our") is committed to protecting your personal data. This Privacy Policy explains what information we collect when you contact us, book a service, or use fastlanegroup.co.uk, why we collect it, who we share it with, and the rights you have over it. This is written to reflect what we actually do, not a generic template.
Fastlane Autocare is the data controller for the personal data described in this policy. Our contact details are at the bottom of this page.
The personal data we collect
We collect personal data in a few genuinely distinct ways, depending on how you interact with us:
| How it's collected | What we collect | Why |
|---|---|---|
| Contact form, phone, or WhatsApp enquiry | Name, phone number, email address, vehicle registration, and the details of your enquiry | To respond to your enquiry and provide a quote or booking |
| Booking a service, MOT, or repair | Name, contact details, vehicle details, and service history with us | To carry out the work and keep an accurate service record |
| Marketing sign-up (opt-in only) | Name, email address and/or phone number | To send service reminders or offers, only if you've opted in |
| Visiting fastlanegroup.co.uk | Analytics data via Google Analytics (see our Cookie Policy) | To understand how the site is used |
| CCTV at our premises | Video footage of the garage forecourt and premises | Security and crime prevention |
If you contact us via WhatsApp, your message and phone number are processed through WhatsApp's own platform, operated by Meta. WhatsApp has its own privacy policy governing how it handles data sent through its service, separate from ours.
CCTV
We operate CCTV at our garage premises at 232-254 Boundary Road for security and crime prevention purposes. Footage is retained for a limited period necessary for these purposes and then securely deleted, unless needed for a specific investigation or legal request.
Marketing communications
We only send marketing emails, texts, or WhatsApp messages if you've genuinely opted in to receive them — for example, when booking a service or providing your details to us. You can opt out at any time by contacting us directly, or using the unsubscribe option included in any marketing message. Opting out of marketing won't affect service-related communications, such as confirming a booking or a completed repair.
How we use your personal data
We use personal data for the following purposes, each with a genuine legal basis under UK GDPR:
- To provide our services — responding to enquiries, providing quotes, carrying out bookings, servicing, MOTs and repairs (necessary to perform a contract with you)
- To maintain accurate vehicle and service records (necessary to perform a contract, and our legitimate interest in providing a genuine service history)
- For security and crime prevention via CCTV (our legitimate interest in protecting our premises, staff and customers)
- For marketing communications, only where you've given consent (based on your consent, which you can withdraw at any time)
- To understand website usage via analytics (our legitimate interest in improving the site)
- To meet legal and accounting obligations, such as retaining financial records
Who we share your data with
We don't sell personal data. We share it only where genuinely necessary:
- Payment Assist Ltd — if you choose to spread the cost of a repair via Payment Assist's finance option, your details are passed to them so they can process the credit application. Payment Assist is a separate, FCA-regulated data controller for this purpose, and their own privacy policy at payment-assist.co.uk governs how they handle your data during that process.
- Google — via Google Analytics, for website usage data. See our Cookie Policy for details.
- WhatsApp (Meta) — if you choose to contact us via WhatsApp.
- Regulatory or legal authorities — only where we're required to by law.
We do not currently transfer personal data outside the UK ourselves, though third-party services we use (such as Google Analytics) may process data on servers located outside the UK, subject to their own safeguards.
How long we keep your data
We keep personal data only for as long as genuinely necessary for the purposes it was collected. Vehicle service records are typically kept to maintain an accurate history for your car. Financial records are generally kept for at least 6 years, in line with standard UK accounting and tax requirements. CCTV footage is retained for a limited period as described above.
Data security
We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or misuse. No system is completely infallible, but we take this responsibility seriously.
Your rights
Under UK GDPR, you genuinely have the right to:
- Ask what personal data we hold about you, and request a copy (right of access)
- Ask us to correct inaccurate or incomplete data (right of rectification)
- Ask us to delete your data, where there's no legitimate reason for us to keep it (right of erasure)
- Ask us to restrict how we use your data in certain circumstances
- Object to us processing your data based on legitimate interest, including for marketing
- Withdraw consent at any time, where we rely on consent (such as marketing)
- Request your data in a portable format, where technically applicable
To exercise any of these rights, contact us using the details below. We'll respond within one month, as required by law.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, if you believe we haven't handled your data properly. You can reach them at ico.org.uk.
Children's data
Our services are not directed at children, and we don't knowingly collect personal data from children.
Changes to this policy
We may update this Privacy Policy from time to time to reflect changes to how we operate. Any changes will be posted on this page with an updated revision date at the top.
